About Cortex AI

Cortex AI is a desktop AI workspace for accountants and bookkeepers that bridges the gap between source documents and web-based accounting software. It reads receipts, invoices, bank statements, and spreadsheets, then navigates QuickBooks, Xero, NetSuite, Sage or any other browser-accessible app to enter the data autonomously, exactly as a human would, but without re-typing or tab-switching.

Unlike cloud-based capture tools, Cortex runs locally on the user's machine with a zero-retention architecture: files are processed in an ephemeral environment and wiped immediately after each session, with no data ever stored on or sent to Cortex servers. The tool is SOC2 Type II certified and supports PDF, Word, Excel, PowerPoint, CSV, images and scanned documents with OCR.

It is particularly suited to solo practitioners and small practices handling multi-format document intake across multiple client accounting systems.

Key Features

  • Reads PDFs, Excel, Word and scanned documents then enters data directly into web apps
  • Works with any browser-based accounting system — no API keys or IT setup needed
  • Zero data retention: files processed locally and permanently wiped after each session
  • SOC2 Type II certified; data never used for model training

Our in-depth review

Cortex AI is a SOC2-certified desktop AI agent that reads documents and types data into QuickBooks, Xero, NetSuite or any browser-based app, with no API integration needed. It effectively automates data entry by driving the software the way a person would.

What it does well, on the evidence so far: the no-API approach is clever. Because it works at the screen level, it can enter data into systems that lack integrations, which is useful for older or niche software where capture tools cannot reach. SOC2 certification is reassuring for a tool handling financial data.

Where to be cautious: it is a newer tool, so independent reviews are limited, and screen-level automation can be more brittle than API integrations if interfaces change. As with any data-entry AI, accuracy needs checking.

Best for: solo bookkeepers and small practices that need to automate data entry into software that does not offer good integrations.

Verdict: a genuinely useful idea for the gaps other capture tools cannot reach, especially legacy or browser-only systems. Trial it on your actual workflows, keep an eye on accuracy and how it copes with interface changes, and it can quietly remove a lot of manual keying.
