About Receiptor AI
Receiptor AI goes looking for receipts and invoices where they already sit, mainly in email. It connects to Gmail, Outlook, Yahoo, Google Workspace, Microsoft 365 and any IMAP mailbox, and also accepts WhatsApp messages, forwarded emails and manual uploads. It extracts the document data, categorises the expense from the purchase context and syncs it to the ledger, with a one-off retroactive scan to pull in older receipts from past email.
It is an Intuit App Partner at Silver level and a Xero Connected App, and also exports to Expensify, Google Drive, CSV, PDF or ZIP. It handles multiple currencies and languages, multi-entity setups and routing to several QuickBooks companies. An accountants section describes client organisations, several mailboxes and mobile scanners per client, and preset chart of accounts and tax rate rules for Xero and QuickBooks. On security, it has completed a CASA Tier 2 assessment validated by the App Defense Alliance, and says it stores message IDs rather than email contents. The company says it serves more than 7,000 businesses.
It is positioned at small businesses and the bookkeepers who chase their receipts, rather than at teams needing full accounts payable workflow.

Our in-depth review
Receiptor AI tackles one of the dullest jobs in bookkeeping: getting the receipt that is buried in a client's inbox attached to the right transaction. It does that job by reading the inbox directly rather than waiting for the client to remember to forward anything.
What it does well. Coverage of mailboxes is broad, from Gmail and Microsoft 365 to plain IMAP, and WhatsApp capture suits clients who photograph everything on their phone. The retroactive scan is the standout: it can sweep months of past email in one go, which is a real help when taking on a new client with a missing year of receipts. Xero Connected App and Intuit Silver partner status, plus a CASA Tier 2 security assessment for Google data access, give more assurance than most small vendors offer. Pricing is published, billed monthly, quarterly or yearly, and easy to model against a client list.
Where it falls short. It reads inboxes, so it is only as good as the client's willingness to grant mailbox access, and some clients will refuse. Ledger support stops at Xero and QuickBooks, so Sage, FreeAgent and IRIS practices are left with CSV exports. Document allowances are modest: 50 on Starter and 250 on Growth before the four cent overage, and accounting connections are capped per plan, with extra ones at $12 each, which matters for a practice running many clients. There is no free trial listed on the pricing page, and no UK-specific features such as VAT handling beyond tax rate rules.
Best for. Solo bookkeepers and small practices on Xero or QuickBooks whose clients buy online and receive most receipts by email. In the first month, connect one client's mailbox, run the retroactive scan and compare what it finds with the bank feed. If paper receipts and supplier bills dominate, capture tools such as Tofu in this directory are a better fit.
Verdict. A focused, well-built receipt finder that does one annoying job properly; it complements your ledger and capture tools rather than replacing them.
