About Basware

Basware is a Finnish accounts payable and invoice lifecycle management company that marks 40 years in the market this year. Its platform receives invoices through its e-invoicing network and scanning, extracts and codes them with InvoiceAI and SmartCoding, matches them to purchase orders and routes them for approval. It describes the approach as Governed Autonomy, a framework for explainable and auditable AI decisions.

Around the AP core sit Basware Insights analytics, an e-invoicing archive and compliance hub, e-procurement, and an assurance layer of AP Protect, AP Audit and Recovery and Statement Matching. In October 2026 Basware finalised its acquisition of Trustpair, the vendor verification and payment fraud platform, announced in August. Basware says it processes more than 2.5 billion invoices across more than 190 countries and names customers including Specsavers, DHL, ABB and McDonald's Germany. It reports Leader placements in the 2026 Gartner Magic Quadrant for AP applications and the Q2 2026 Forrester Wave. These are the company's own figures.

It is sold on a subscription quoted by its sales team and is positioned at large and multinational organisations, with SAP the ERP it names most prominently.

Our in-depth review

Basware has been in e-invoicing and AP automation for four decades, and its AI story is an incremental upgrade to a large, proven invoice network rather than a new product. That is reassuring for a group finance team and largely irrelevant to an accounting practice.

What it does well. Scale and compliance are the strengths. E-invoicing reach across many countries matters for multinationals facing mandates, and the company says it went live for France's e-invoicing deadline this year. SmartCoding learns from historic coding decisions, and the assurance tools for duplicate checks, audit recovery and supplier statement matching address leakage that capture tools ignore. The Trustpair deal adds vendor bank detail verification, which tackles payment fraud more directly than invoice AI alone. Basware made its invoice lifecycle product available on the SAP Store this year, which may shorten procurement for SAP customers, and the company says 98% of customers renew, which, if accurate, suggests those who get it live tend to stay.

Where it falls short. There is no published price: the pricing page describes a subscription tailored to the organisation and asks you to speak to sales. Implementations are enterprise projects, and while the site says it covers every ERP, SAP is the only one it names prominently, so Dynamics, Oracle or NetSuite users should confirm connector depth and who maintains it. Trustpair has only just been folded in, so ask what is integrated today rather than on the roadmap. There is nothing here for Xero, QuickBooks or FreeAgent clients, and moving years of archived e-invoices out of the network later would be a sizeable job in itself.

Best for. Large finance functions with high invoice volumes, multiple entities and e-invoicing obligations, especially on SAP. In evaluation, ask for automation rates measured on a sample of your own invoices, get the multi-year cost in writing and check the exit terms for your archived invoices. Firms serving small clients should look at Dext or ApprovalMax; US mid-market teams may find Stampli or Tipalti quicker to deploy.

Verdict. A safe enterprise choice with genuine e-invoicing reach and growing fraud controls, but far too heavy and opaque on cost for the typical UK or US practice client.
