About Tidyflow

Tidyflow is practice management software for growing accounting, bookkeeping and tax firms. It runs recurring jobs and deadlines, client requests and document collection, a shared inbox, proposals and engagement letters, time tracking, billing and payments from one system, with a client portal, e-signatures, tax organisers, reporting and capacity planning.

It connects to Xero and QuickBooks Online to import clients, push invoices to the ledger and sync payments back, with Zapier, Make and a public API on the Pro plan. AI features, included on every plan, cover an assistant with live access to jobs, clients, inbox and billing, agent teammates that can be assigned jobs, smart classification and MCP connections for tools such as Claude or ChatGPT; AI stays off until the firm opts in. iOS and Android apps are in beta. The company says data is hosted on AWS and DigitalOcean with encrypted backups, multi-factor authentication and regular vulnerability scans. Pricing is per team user with unlimited clients and portal users, and a 14-day trial needs no card.

It is positioned at solo practitioners, small firms and remote teams moving off email and spreadsheets, and its Xero listing targets firms of one to 30 staff.

Our in-depth review

A small firm usually outgrows its spreadsheet of deadlines at the same moment it starts losing track of client emails. Tidyflow is a newer practice management system that tries to fix both at once, pairing recurring workflow with client requests, a portal and billing, and adding AI agents on top.

What it does well. The scope is broad for the price. Core at $29 per user per month on annual billing ($39 monthly) includes workflow, the client portal, document requests, time, billing, unlimited standalone PDF signing and the AI features, and you pay only for team users, not clients. The Xero and QuickBooks Online links go further than a client import, pushing invoices and pulling payments back. The AI is opt-in at firm and user level and respects existing permissions, which is a sensible default, and MCP connections suit firms experimenting with their own AI tools.

Where it falls short. It is young and the independent evidence is thin: Capterra shows seven reviews and the Xero marketplace listing had no ratings when checked. Prices are in dollars; the company bills in CAD and AUD and says other currencies can usually be arranged, so UK firms should ask about sterling before committing. Nothing on the site addresses MTD, HMRC agent workflows or Companies House dates, so UK firms will build those themselves. Core is tightly capped, with three automation rules, 15 job templates and three shared inboxes, while API access, Zapier and enforced two-factor authentication sit on Pro at $55 annual or $69 monthly. Sage, FreeAgent and IRIS are not listed.

Best for. Small and remote firms of roughly two to ten people working mainly in Xero or QuickBooks Online who want workflow, client requests and billing in one tool and accept being early adopters.

Verdict. A capable, keenly priced newcomer worth a trial for small Xero and QuickBooks firms. Note the trial runs on Pro features, so check what you lose on Core. In the 14 days, build your VAT and year-end workflows, send a real document request through the portal and push one invoice to Xero. Firms wanting proven UK compliance templates should compare Senta or Karbon; US tax-heavy firms should look at Canopy or Financial Cents.
